Prepare the File (On-Prem Server)

Encrypt the file: If you are using the Microsoft 365 suite locally, then you will have the option to encrypt the file itself. You can click “File”, “Info”, “Protect Document” and “Encrypt with password”, you can then set a password to access the file itself.

Compress and encrypt the file: Ensure you have a tool such as 7-Zip installed. You will then be able to right-click on the file, click “Add to archive…” and input a password where prompted, compress it using a strong encryption method (for example, AES-256). Ensure this is a separate password for the zip archive.

Upload to OneDrive or SharePoint

Upload to cloud storage: Use your OneDrive or SharePoint account to upload the zipped and encrypted file.

Sharing

Share the link: Right-click on the uploaded file, select “Get link,” and copy the shareable link.
Share with Permissions (OneDrive) or Grant Access (SharePoint)

On OneDrive: In the sharing settings, choose who can access the file (edit, view-only, view-only non-downloadable).

On SharePoint: Go to the document library, locate the zip file, click on “Settings” and then “Grant Permissions.” Choose the users or groups you want to share with, set their permission levels, and provide them with the shareable link.

What’s the difference between OneDrive and SharePoint?

OneDrive for Business: Is used as a personal file storage solution. It allows users to store, access, and share their files across devices, both online and offline. This is ideal for individual users who need to manage their own documents and data within their organisation.

SharePoint: Designed to be a collaborative solution for teams and organizations. SharePoint provides a platform for storing, organizing, and sharing documents, as well as many other functions. It’s perfect as a central cloud storage location for many organisations to ensure their data is accessible for all users (defined by access permissions of course) and manageable.

Key differences:

File storage: OneDrive for Business is primarily used for personal file storage (up to 1TB per user), while SharePoint can store larger files and is often used for shared documents and libraries.

Collaboration: SharePoint enables real-time collaboration, version control. Whereas OneDrive for Business focuses on individual file sharing and access.
